Our journey in AP2 program for Automating Process & Simplifying system
Supplier Invoice Recording and Completion are a crucial part of Finance and the Supply Chain. A reliable supply chain depends much on product availability and the good relationship with our suppliers. The goal of the AP2 program was to automate manual Invoice Recording and Completion activities for 3 pilot countries – France, Italy and Turkey.
- The BSC support team started this collaboration in December 2019. Over 9 months, our team has designed and deployed a hybrid automation solution that includes bots from Automation Anywhere, an Advanced Invoice Recording solution from Metronom (DCES) and Micro Services using SQL query, VBA and Python.

As of year-end 2020, all 3 pilot countries are operationally live, working hand in hand with robotics-based solutions. Further automation and code improvements are leveraging insights from process mining.
Promo Tool
For Promo Tool, our objective was to standardize and automate their pre-existing current promotion management process for MCC Russia. We were able to successfully provide an efficient view to the category manager through the standardization of templates used for promo in planning, through VBA, SQL and RPA. All of this led to significant savings in effort, error reduction, decreased turnaround time and made the data available in real time.
DRM
DRM faced a key compliance challenge when they approached us, as they could not declare the of end of month available liquor stock details on the French government’s website. Our team helped the DRM team access these files for each store and uploaded them at the government website using RPA. The files were also saved for future audits using automated workflows. The remarkable achievement for this project was the time that was spent in creating the entire process flow for our French clients – the turnaround time was extremely quick, and the developed workflows highly effective!
Supplier Appointment
Scheduling the appointment and delivery process for MCC India while keeping aspects of GR processes and inventory levels intact was challenging in the absence of automated solutions. Our team worked on digital first, automated workflows that could provide the store owners with appointment dates and times over email, thus making it simpler to manage inventory levels and internal processes at once. This not only enhanced the customer’s overall operational efficiency, but also enabled faster delivery and reduced turnaround times.
Exception Tool
The main business objective here was to reduce effort intensive tasks for Team Leads, to enable proper work allocation and report generation in the accounts payable and IC process functions. The approach our team took was to standardize production logs through allocation and utilization of the VBA tool. This enabled multiple touch points on the same invoice, and real time monitoring and tracking for all invoices generated. As a result of this hyper automation, team leads were able to focus on strategic decision making, rather than cumbersome day to day execution.
